HubSpot Integration

Do you want to elevate your renewal communications with your client base? We now integrate with HubSpot for complex marketing solutions and getting maximum engagement from your past and present students. 

The newly released HubSpot Integration is an add-on functionality that allows you to push information from your Vasto account into HubSpot for marketing and other needs. If you wish to learn more about the integration, please contact your Enterprise Account Executive.

Setting up the HubSpot Integration

The first stage in setting up your HubSpot Integration is having the functionality enabled in your Vasto instance by contacting your Enterprise Account Executive. Once this has been done, you will be able to expand the CONNECT menu to access the HubSpot Setup page.

You will then be presented with directions on how to complete the integration process. This will consist of a series of steps to follow in order to complete the setup on the HubSpot side.

If you encounter any difficulties with this, you may need to reach out to someone who is experienced with the use of HubSpot.

The below screenshot shows an example view from within HubSpot.

Once these steps have been completed, you can then sync data from Vasto into HubSpot.

Syncing records with HubSpot

IMPORTANT NOTE: Enrolments created and certificates issued following the completion of the integration process will automatically be created in HubSpot, along with the student's record (as a customer). These syncs happen automatically and may take up to a minute to populate.

If you load up a student's profile in Vasto, on the bottom right you will see a blue button for HubSpot Sync.

IMPORTANT NOTE: Clicking HubSpot sync only brings across the student's record as a contact card. It does NOT sync any certificates or enrolments for legacy data. HubSpot sync will also only update details one way - from Vasto to HubSpot. This can be used to update a student's details such as a change of address or email.

As part of a HubSpot migration, any historic Vasto data can be migrated into HubSpot so all relevant data exists for a marketing perspective. Please reach out to your Enterprise Account Executive for additional details.

Once an enrolment has been made in Vasto and the integration has been established, you can see this data in HubSpot (as shown in the example below).
