How to Generate National AVETMISS Files

All RTOs must collect a range of data from their students and report all their delivery activity (known as Total VET activity) to the National Centre for Vocational Education Research (NCVER) at least annually.

This includes full Australian Vocational Education and Training Management Information Statistical Standard (AVETMISS) data, as per the National VET Data Policy.

 

 

Step to Generate National AVETMISS Files 

  1. Go to ReportsRTO Compliance.
  2. Select the reporting 'YEAR' from the dropdown list.



  3. Scroll down the page and click on the 'Validate' button. After the files have been successfully validated and any potential errors have been corrected, a success message will appear below.



  4. After finishing the validation process, click the 'Generate' button.
  5. You'll see the message "Data file build in progress. Please wait a moment." It's crucial not to leave this window while the process is underway. If you need to continue working, we suggest opening a new tab and keeping this one running in the background.
  6. After completion, the file will appear in the 'Recently Generated NAT File Sets' table located at the bottom of the same page.

 

Common Mistakes

Select the Correct Year

With the start of a new year, the default setting will update to the current year. Remember, AVETMISS reporting covers the previous calendar year, so make sure to select the appropriate year.

Check the Report Contains Data
The report is expected to contain student data and results. If the stats column shows 'empty,' it indicates an issue has occurred, or you may need to adjust your filter selections.

 

Common Questions

Known Issue for Mac OS Users

For Mac users, it's recommended to download and use Firefox to generate AVETMISS reports due to a specific issue with the Apple Mac operating system. When using Safari or Google Chrome, there's a glitch where reports default to the current year, despite selecting a different year from the dropdown menu. For example, even if you choose 2020 as your report year, the report will generate for 2022.

Can I still generate the report if all the validation errors haven't been corrected?
Having errors during validation won't stop you from generating a report. This means you can go ahead with the report generation if the errors don't apply to your specific situation.
Does zero errors after using the validation tool indicate that my data is clean and prepared for submission to NCVER or state reporting bodies?
The validation tool identifies only critical missing information that could affect the validity of your NAT file; it doesn't provide a detailed error report. Additional errors not detected by the validation tool might be highlighted in a more comprehensive error report from NCVER or the state reporting body.
