Once you have configured your Corporate Client and their various co-ordinators, they can have access to the Vasto Co-ordinator Portal.
The Dashboard
Upon logging in, co-ordinators will be presented with the following screen
This screen allows them to see, at a glance, their Messages, Students, Upcoming Courses, and anyone pending completion or who has recently completed training.
My Unread Messages
Any unread messages that have been sent to the co-ordinator will show up
My Students
This section gives an overview of the number of students who meet certain criteria. These numbers are cached and re-calculated twice daily.
- Not Trained - Status of "New" or "Pending Commencement"
- In Training - Status of "In Progress"
- Previously Trained - Status of "Completed"
- Inactive - Status of "Withdrawn", "Suspended" or "Cancelled"
Enrolments with a status of "Tentative", "In Transition" and "Course Superseded" are not included in these numbers, but will be accessible from the "All Students" page.
Upcoming Courses
This section shows any upcoming timetabled short courses that have at least one session in the future. To show up in this section, timetables must be in the future, published and not test-mode. From here, co-ordinators can view the student list for a course, or share a direct enrolment link with their staff so they can enrol.
It's also possible to use the "request new private course" button to send an alert to the RTO Admin that the organisation would like to schedule some training. The back-of-house process here is still very manual, in that these details need to be created as a new timetable item.
Enrolled Students Pending Completion
This section shows a list of the enrolled students who are yet to start their training. The button in each row here can be used to view the student's transcript of results.
Recently Completed Training
This contains a list of students who have completed their training, ordered by most recently at the top of the list. Anyone who has Employee Info in their Individual Profile with a status of "previous position" will be excluded from these lists
My Students
The "My Students" link at the top of the page presents a list of all your students. From here you can add students or view the details or transcripts of any individual on the list
Cert Expiries
Within the My Students menu is a page for Certificate Expiries; this will show any certificate with an expiry date in the next 9 weeks from today.
Courses
The "Courses" menu item gives you a list of your upcoming and previously run courses, along with the option to request a new course, as per the button on the dashboard
Billing
The Billing screen allows you to see any invoices that the RTO Admin have sent to the Corporate Client, as well as the history of any payments made against invoices for training services. It's important to note here that this only applies to invoices created and paid within Vasto. If the RTO manages invoices completely separately, this information will not be included in Vasto and cannot be shown here.
Messaging
From the messaging menu, you can see all of the messages that you've received in your Inbox and all the messages you have sent in your Outbox. It is not possible to create a new message from within the Co-ordinator Portal; you will need to reply to an existing message in your inbox.
We also keep a list of received files separately to your Inbox and Outbox.
Settings
The Settings screen allows you to change your email address, password, profile and communication preferences.
Help
The Help menu provides a link to the User Guide for the Corporate Portal, as well as a "Links" section that contains links that have been set up by the RTO Admin staff. These links are configured under Connect -> Links Management in the Admin Portal.
