In the Shared Link Enrolment process, a link is sent by an administrative user or a corporate client co-ordinator to either a single student or a group of students, in order for them to enrol themselves in a timetable item. In this case, each student is responsible for their own enrolment, and enters their own information.
The shared link can also be placed on a button on a website, for instance, to allow students to easily enrol themselves into a specific timetable item.
How to Create a Shared Link:
Administrators
- Navigate to Manage > Timetables
- Click the quick link Share button next to the timetable item you want stduents to enrol for
- A pop-up will open for you to create your shared link details and settings
Timetable Item Details
This information is taken from the timetable item settings, includes the course/unit title, training location, the start date and the places remaining. Where it is an always open course the start date will be immediate and if there is no limit on places this will show as unlimited.
Send To
Enter recipient email addresses seperated by a comma (,) or a semi colon (;)
NOTE: Vasto does not accept email addresses that contain apostrophe (') or ampersand (&) symbols.
Options
If you want to restrict the shared link to make it only usable by those people whose email addresses have been entered above, tick Only email addresses entered above can register.
This option is useful if you are offering students a discounted price for example, and you want this offer to only be available to those students themselves. It should not be used if you want the link to be used by the general public. For instance you may want to attach the link to a button on your website so students can enrol in the timetable item, in which case you do not want any restrictions on who can enrol via the link.
If you want to override the normal timetable item fee for the course, tick No payment required. This will make the course free, but only for those who register using this shared link - all other students will be subject to the regular fees set up at timetable level. This option is useful in circumstances where the training is already paid fo or if the course is a free demonstration.
Coupon Code
Enter a coupon code or a voucher for the course. Use this option if you want to provide a discounted rate for the enrolment. See help page on timetable pricing for more infomation on setting up coupon codes.
Message Body
Enter the message body for the email which will be sent to students. This can be a short message which tells the student(s) that gives them some context about the link and how they can use it.
Branding
Select the brand you want the enrolment to be created under - by default the main RTO will be the brand selected. See help page on sub-brands for more information on how to use branding. - Generate Links
At the bottom of the pop-up, there are two options when generating the share link;
Generate & Send
This will generate a link, and send it via email including any details and settings stipulated.
Generate & Show
This will generate a link on-screen, which can be copied and pasted for use elsewhere, ie. sharing via message board or creating a website button.
- You will see a confirmation message in the lower left corner of the screen which confirms "Sharing link generated". When finished, click the close button to close the pop-up.
How to Create a Shared Link:
Corporate Co-Ordinators
Corporate Client Co-ordinators that oragnise training on behalf of their student cohort can also generate and send share links for their priavte scheduled timetable items.
This allows them to manage their own enrolments by invitaion, or advertising by posting or sharing the link internally to their staff where staff can register directly.

View Share Link History
A comprehensive log is available for share links, allowing you to recover previously generated links and see enrolemtn details against a specific link.
- Click shared link button for TT item
- Click HISTORY button at the bottom.
- You can view the history of links previously created inclding the below details
ID - unique ID number for this share link
Sent - date and timestamp when the link was sent / generated
Email - email address the link was issued to
Coupon - coupon code included with the share link email
Options - will flag whether the no payment option was selected
Brand - shows the branding applied
Enrol? - indicates Yes/No whether there has been an enrolment via the link
Get Link - click this to display the unique shared link URL for that person
- When you click the get link icon, you have both a long link and a short share link. Both direct to the same location, the short link is just abbreviated so the link you are sharing is less lengthy.
- If the link has not been shared, you will see this message
