Withdrawing students from an enrolment is a simple process using the quick withdraw function.
- Navigate to the manage enrolments timetable view
- Click the Admin Grading button
- Click the button for 'Enrolment final outcome editor'
-
To withdraw and individual student, change the enrolment status to Withdrawn - Incomplete, and check the quick withdraw box at the bottom of the screen.
The quick withdraw function will automatically apply a withdrawn status to any units that had a status of in progress.
IMPORTANT: If you have not specified a date completed on the row where you have applied a withdrawn status, the withdrawal date applied to constituent units will default to today.
To withdraw in bulk for multiple students, populate instead the 'Apply to all ticked' fields.Use the selection check box to tick the students the changes should apply to.
Click the apply button. - Click button to save all changes
-
In the bottom left of screen, you will receive a notification banner confirming the changes have been saved.
NOTE: When withdrawing in bulk for multiple students, it may take some time to process. Do not refresh or navigate away from the page until you get the on-screen notification.
- Now withdrawal is complete, click the close button in bottom right of screen.
Please note, for the purposes of compliance reporting, if a student has not started a unit, and they are not funded, the unit status can be left as new. The quick withdraw function only operates for in progress students - units that have not been started will remain as new. - When viewing the progress tracker for the student enrolment this should display as withdrawn for the enrolment.
On opening the progress tracker view, the enrolment status shows as withdrawn, and constituent units (which previously had a unit status of in progress) now have a withdrawn status applied.
Student Portal View for Withdrawn
When a student is withdrawn at enrolment level, they can no longer see or access the enrolment via their student portal. Any pending submissions to their assessor are removed from the assessor portal as these no longer require marking, and the student will not display in the trainer portal class list for practical sessions.
When a student withdraws from a unit within a course, but not from the enrolment entirely, all activities in that unit are locked, and show a status of withdrawn. The unit status also reflects as withdrawn.
Withdrawals from NSW funded training
If the enrolment was flagged as funded NSW training, then selecting the quick withdraw checkbox will apply the unit outcomes per below;
- Withdrawn - Did Not Start
Where the unit status for constituent units is New or Pending Commencement - Discontinued Subsidised Training (NSW)
Where the unit status for constituent units is In Progress.
