Trainer availability allows you to let your RTO know when you are available to deliver training sessions.

Your availability is shown in a calendar view and can be updated for each day of the month. Each day is split into time blocks so you can indicate whether you are available, unavailable, already booked, or have not yet entered a preference.

Open trainer availability

You can access trainer availability from either:

  1. The trainer dashboard, by selecting Availability.
  2. The main menu in the top left of the page, by selecting Availability.

The availability calendar will open to the current month.

You can use the navigation buttons at the bottom of the calendar to move between previous and future months.

Set your availability

Each day is split into time blocks. You should update each time block so your RTO can schedule sessions according to your availability.

To set your availability:

  1. Select the day you want to update.
  2. Use the dropdown menus to select either Available or Not Available for each time block.
  3. Select Save to confirm your changes.

Copy availability to other days

You can copy the availability preferences from one day to other days in the same month. This can help you populate your monthly availability more quickly.

To copy your availability:

  1. Select the day that has the availability preferences you want to copy.
  2. Select Copy Profile to Other Days.
  3. Choose the copy option you want to use.

The available copy options are:

  • Every day
  • Every weekday
  • Every weekend day
  • The same day of the week in the current month

For example, if you have selected a Friday, you can copy those preferences to every Friday in that month.

  1. Select Apply to confirm your selection.

Continue updating or copying your availability until your preferences have been entered for the full month.

Change your availability

You can change your availability at any time.

To update an existing availability preference:

  1. Select the relevant day.
  2. Use the dropdown menus to change the availability for each time block.
  3. Select Save to confirm your changes.

Availability colour key

The availability calendar uses colours to show the status of each time block.

ColourStatusMeaning
GreenAvailableYou are available to train during that time block.
RedUnavailableYou are not available to train during that time block.
BlueBookedYou are scheduled to train during that time block.
GreyUnspecifiedNo availability preference has been entered for that time block.

Frequently asked questions

Why does the calendar show that I am booked when I did not mark myself as available?

If your calendar shows that you are booked, but you either left the time block unspecified or marked yourself as unavailable, contact your RTO admin or management team.

A booked time block means your RTO is expecting you to deliver training for that session.
