The student list allows trainers to view students they are assigned to train.
From the student list, you can view student details, access individual student profiles, view or edit session results, and send messages to students.
Open the student list
You can access the student list from either:
- The trainer dashboard, by selecting Students.
- The main menu in the top left of the page, by selecting Students.
Once the student list opens, you will see the students for whom you are the assigned trainer.
Search for a student
Use the search function to find students by:
- Surname
- Enrolment status
If you are the assigned trainer for the same student across more than one enrolment, the student may appear in the list more than once. Each listing relates to a separate course or unit enrolment.
Student list functions
Each student in the list has action buttons available. These allow you to view the student profile, view results, or send the student a message.
View an individual student profile
Select the Profile button to open the student’s profile.
The student profile shows a summary of the selected student, including:
- First name
- Last name
- Date of birth
- Email address
- Phone number
- Profile picture, if provided
- Active enrolments
Re-send student login details
From the student profile, select Re-send login details to send the student an email with their student portal login details.
Edit a student’s VET profile
If this feature is enabled for your account, you can edit a student’s VET profile from the student profile page.
Select Edit student profile to view or update the student’s VET profile details.
Once a student’s USI has been validated, some fields will be locked and can no longer be edited from the trainer portal. These fields include:
- First name
- Last name
- Date of birth
- USI number
If these details need to be updated after USI validation, contact your RTO admin or management team for assistance.
View or edit student results
Select Results to view or edit the detailed results achieved by the student for practical sessions in that enrolment.
This is the same view used when marking an individual student from the practical session schedule.

Frequently asked questions
Can a trainer view a student’s address?
Yes, if the option for trainers to edit student VET profiles has been enabled for your account.
When editing a student’s VET profile, trainers can view and edit details that have been completed by the student, including their address.
Why can’t I edit a student’s name, USI number, or date of birth?
Once a student’s Unique Student Identifier (USI) has been verified, these fields are locked.
This is because the details have been matched against the student’s record in the USI Registry. If these details need to be changed, contact your RTO admin or management team for assistance.
