The schedule allows trainers to view past and upcoming training sessions. From a session, you can view session details, check the class list, access resources, upload paperwork, communicate with students, and mark attendance or other session outcomes.
Open your schedule
To open your trainer schedule:
- Go to the trainer dashboard.
- Select Schedule.
This will open a calendar view of the current month.
Navigate the schedule calendar
The schedule calendar shows the sessions you are allocated to train.
A green number will appear on any day where you are allocated as the trainer for a practical session. The number indicates how many sessions you are allocated to train on that day.
To view session details:
- Select the relevant day in the calendar.
- Review the daily summary of sessions.
- Open the detailed session view.
The detailed session view can be opened in either the current tab or a new tab.
View session details
The session details appear at the top of the session page.
These details may include:
- Session time
- Session duration
- Course or unit title
- Whether the session is public or private
- Other relevant session information
View location details
Location details appear below the session details.
For a physical location, this may include:
- Venue address
- Google Maps link
For a virtual location, this may include:
- Virtual session link
- Option to upload a recording of the session
View the class list
The session page includes a list of students enrolled to attend the practical session.
The class list may include:
- Student name
- Email address
- Profile picture, if provided
- VET profile status
- Completion status for other curriculum activities in the unit
By default, students whose enrolments are completed are hidden. You can select the "x students already completed - click to view" link at the bottom to show these students.
Access learning material
Select Learning Material to open the resources folder for the session.
This folder may include documents required to facilitate the session, such as:
- PowerPoint presentations
- Worksheets
- Other training resources
Upload session paperwork
Select Upload paperwork to upload files for the practical session, or to view files that admin staff have provided for the session.
Uploaded paperwork can be viewed by admin users.
After uploading a file, you can also link it to a specific student.
To link uploaded paperwork to a student:
- Upload the file.
- Select the edit icon for the uploaded file.
- Use the student dropdown to select the relevant student.
- Save the file details.
Paperwork linked to a specific student can also be viewed by that student’s assessor. This allows trainers and assessors to share session documents where required.
Add or view admin notes
Select Admin notes to add notes for the practical session, or to view notes that have been provided by admin staff.
Download an attendance list
Select Attendance list to generate a PDF attendance sheet.
The attendance sheet can be downloaded and printed. This may be useful if students are required to sign in when they arrive at the session.
Send a broadcast message
Trainers can send messages to students from the session page. Messages can be sent to the whole class or to selected individual students.
To send a broadcast message:
- Use the selection tool to select all students, or select the individual students you want to contact.
- Select Broadcast message.
- Enter the message subject and body.
- Select Send.
A confirmation message will appear on screen once the message has been sent successfully.
