We're continuing our never-ending quest to make Vasto the best student management system on the planet!
New
Nothing new to see here.
Improved
We've made it possible to show Internal Titles and Codes for Units in the Trainer Portal.
We have expanded the visibility of Internal Titles and Codes for units (where applicable) to the Resources page of the Trainer Portal. This enhancement is available when the "Show INTERNAL Titles on Trainer Portal Views" option is enabled.
To enable this setting, go to Set Up → System Defaults → Views tab → check the Show INTERNAL Titles on Trainer Portal Views checkbox.
Views Tab
We've made it possible to edit and remove a hyperlink for an Activity under the Resources tab of a Unit.
We've introduced an improvement that addresses the issue of including a URL in the Resource tab when creating an Activity against a Unit. Previously, once an Activity was created with a URL in the Resource tab, there was no way to update or remove it, resulting in a hyperlink on the Student Portal that could not be edited or removed.
With this update, we have introduced the ability to edit or remove the URL associated with an activity after it has been created. This means you can quickly go back and make necessary changes or remove the URL if needed.
We've updated the 'New Enrolment' Alert Message.
The 'New Enrolment' Alert Messages have been revised to allow Admins to differentiate between New Paid / Unpaid Enrolments quickly.
For example:
- Paid Alert - New Paid Enrolment [student name] into [course/unit]
- Unpaid Alert - New Unpaid Enrolment [student name] into [course/unit]
We've made it possible for you to use the WYSIWYG (Rich Content Editor) to insert Dynamic Fields directly into Templates.
To insert a Dynamic Field, click on the Vasto Chevron in the editor and choose the appropriate Field from the options provided.
We encourage you to try this new method, as we plan to gradually phase out the ability to copy and paste from the right-hand side.
Steps to Insert a Dynamic Field
-
Step 1 - Click the WYSIWYG Vasto Chevron.
-
Step 2 - Select a Dynamic Field to insert it directly into the body of the text.
We've added two NEW Fields to the Individual Profile.
We've added a [1] Citizenship Status to the Individual Profile and the Certificate [2] Reference Number to the Certs tab.
The Citizenship Status dropdown includes the following:
- Australian Citizen
- Overseas Resident
- Permanent Resident of Australia (No Humanitarian Visa)
- New Zealand Citizen
- Permanent Visa Holder (Humanitarian)
- Temporary Visa Holder

We've made it possible to apply Date Filters to the Student / Employer AQTF Quality Indicator Survey report.
When viewing the AQTF Quality Indicator Surveys for a Student or Employer, you can apply a Date Rage or set a Custom Date Range.
You can find the AQTF Quality Indicator Survey responses at Report → Feedback → Students or Employers.
Report Date Range Example
We've made it possible to view auto-assessed responses in both the trainer and assessor portals.
Trainer Portal
- Navigate to the Session Class List,
- Identify the Exam Activity,
- Hover your mouse over this Exam Activity,
- Upon hovering over the Exam Activity, a tooltip will appear, showing the result for that specific activity. It will also indicate that you can click to open a detailed question-and-answer view of the exam. This will open the full Q&A view, showing responses and results for auto-assessed questions.
Assessor Portal
-
Search for the Student,
- Once you have located the student, click the Results Icon corresponding to that student's enrolment,
- In this view, look for the Answered Percentage of any Exam Activity. The result percentage (e.g., 100%) is a clickable link. Click on it to get a detailed view of the results,
- In this view, you will now see both auto-assessed and assessor-assessed questions, along with their corresponding responses and result details.
Previously, this view only displayed the assessor-assessed questions. Now, it provides the student's responses to all questions.
Fixed
In our continued effort to make Vasto the most reliable student management system in the market, we've eliminated several issues in the platform with this update!
Here's a quick rundown on those fixes:
- We have resolved an issue that was causing the hyperlink generated when emailing a Certificate link not to work. [VAS-144]
- We have made enhancements to the WYSIWYG editor's text spacing handling when pasting content from a document. [VAS-155]
- We have enhanced the display of dynamic placeholder text (Vasto Data Fields) in Templates when using the WYSIWYG text editor. This improvement addresses the issue of undesirable spacing that was previously occurring. [VAS-293]
- We have implemented backend optimisations to enhance the performance of the Invoice Activity Log. [VAS-166]
- We have updated the Import Student List feature for enrolling students into a Timetable Item. This update ensures that any existing data associated with a person's record will not be deleted if the spreadsheet contains empty values. [VAS-197]
- We have resolved the logic issue that occasionally allowed the system to generate a payment request for a booking already paid. This issue has been fixed to prevent any further occurrences. [VAS-241]
- We've updated the Booking Payment status logic for accuracy, fixing scenarios where a booking appeared unpaid despite being paid. [VAS-311]
- We have fixed an issue that sometimes generates a payment request for an already invoiced enrolment. This issue has been resolved. [VAS-421]
- We have fixed an issue in the Certificate History where using the "full view" option in bulk actions prevented the second page of a certificate from displaying. This issue has been resolved. [VAS-416]
- We have resolved an issue preventing the addition of activities to a unit. [VAS-432]
- We have resolved an issue causing a "File Not Found" message to appear when attempting to edit an affiliate from the affiliates dashboard. [VAS-469]
- Once a student has made progress in a Unit, it is no longer possible to remove that particular Unit from a Course. [VAS-278]
- We have temporarily removed the 'Dates of Attendance' checkbox from the Certificate Template page due to its premature release. [VAS-464]
