What changes when LLN Requirements are activated?

Important note; before this workflow can be implemented, you'll need it to be enabled in your Vasto account and configured for the required courses/units. We recommend reviewing our Implementing LLN Requirements in Vasto article before reading this one.

When LLN Requirements have been enabled for a course or unit that students are being enrolled into directly, the path they take to get from their booking confirmation through to their enrolment itself is different from the standard process. This article is intended to be a step-by-step look at what students will go through when they enrol into a course/unit that has LLN Requirements activated.

Self-Enrolment or Admin Enrolment?

There are primarily two ways that students are enrolled in Vasto; they can self-enrol (via a widget or share link) or they can be manually enrolled by an Admin user.

If a student accesses the self-enrolment form so they can enrol themselves, they will be shown an "LLN Assessment Required" banner;

It's also very important to note that the student will not be charged at this time. Even if there's a price configured in the timetable, this will be ignored in place of a student profile and enrolment being created for them so that they can log in and undertake their LLN assessment.

After the student has completed the self enrolment form, they'll receive the usual student information/ booking confirmation email that contains their direct link etc. They will also receive a separate email with "Assessment Invite" in the title, containing links they can click on to go directly to their LLN Quiz (and the Digital Assessment, if you've enabled this option).

If a student is enrolled by an Admin, there is very little in the way of change from the default process; the student will be enrolled and will receive both the booking confirmation and the Assessment Invite email shown above.

Accessing the LLN Quiz

As noted above, the student can simply click on the link(s) inside the automatically-sent email to access the corresponding assessment. This will take them to a page where all of their details have been auto-filled, and they can simply click the Submit button to begin their assessment.

Alternatively, the student can ignore the email and log in to their Student Portal as per normal. However, as soon as the student attempts to access their enrolment from their Dashboard, the system will advise them that they need to complete their LLN Assessment (and their Digital Skills Assessment if this has been enabled) before they can proceed;

Clicking on the corresponding button will open a new tab and allow the student to commence their LLN assessment, which will consist of multiple questions such as the below example;

Once the student has completed their LLN Assessment, they will reach the page below, asking them to return to their dashboard and click the "I've completed them" button;

If the student also needs to complete the Digital Skills Assessment, they'll need to finish this before they're allowed to proceed;

After the student has completed their LLN Requirements successfully, if payment is required for their enrolment, this is when a Payment Request will finally be generated. The student will be able to pay for their enrolment using the Pay button shown below, and if they try to navigate away and back into their course via their Dashboard, they will be returned to this page.

Only after the student has completed their LLN Requirements and then provided payment (if necessary) will they be able to access their enrolment and begin engaging with the learning and assessment content.

What if a student fails their LLN Assessment?

If a student fails or gets a borderline result for their LLN Assessment or Digital Skills Assessment, they will see the following notification advising them that their results will be reviewed shortly;

At the same time, an Alert will be raised on the Admin Dashboard notifying you of this outcome;

Clicking either of those links will take you to the corresponding Timetable Manage Enrolments screen, where you can see at a glance what status each student's LLN Assessment has;

  • Student has not yet been sent an LLN (grey plus icon, for prior enrolments only)
  • Student has yet to undertake their LLN (grey clock icon)
  • Student has successfully completed their LLN (green tick icon)
  • Student has failed their LLN assessment (red x icon)
  • Student has had their outcome overridden (blue pencil icon)

You can click on any of these icons to see specifics about the LLN Assessment. You can also send a new LLN Assessment, or even elect to override the outcome, in case you want to allow the student to proceed with additional support, for example.

Note that the LLN Assessment and Digital Skills Assessment (if in use) will both need to be set to Pass and Suitable respectively in order for the student to proceed; any outcomes of "Review" or "Borderline" will need to be reviewed by Admins.

Once these results have been overridden, or the student has completed a subsequent assessment, they will proceed to the Payment Request step of the process as noted above.

Note also that LLN outcomes can be overridden by assigned Assessors or Trainers as well, this doesn't strictly have to be done by Admin-level users.

Managing LLN in bulk

You can also manage LLN Assessment outcomes in bulk, by navigating to MANAGE > Manage LLND.

The following page will list all LLN outcomes that have been recorded by your students. You can use the shortcuts to jump to the students' profiles, see a summary of their scores, access their LLN results to review/override, etc. You can also filter results by a variety of options, such as student name, course title, LLN outcome, etc.
