What is a Broadcast Message?
While other messaging in Vasto is largely scheduled and automated, a Broadcast Message provides the ability to send an ad-hoc message to select students within the same timetable item.
A Broadcast Message has the flexibility to be sent via email or SMS, so whatever information you need to share with students the Broadcast Message function allows you the flexibility to get in contact.
How to Send a Broadcast Message
- Navigate to the Manage Enrolments screen
- In the timetable action icons, click the Broadcast button.
- In the resulting pop up, populate the subject (emails only) and message body
- Consider the message settings and whether you need to enable or disable any of these by checking or un-checking the corresponding boxes
- To send the message, click the button to send via the desired method of communication (email or SMS)
Broadcast Message Settings
There are four settings options which you can toggle at the bottom of the Broadcast Message pop-up.
- Attach login credentials to message?
When selected, the student username and the login URL for the branded student portal will be included at the bottom of the broadcast message.
Please note that a password is never re-issued via messaging for security purposes - a password will not be included.
If a student does not remember their password, they can opt to reset their password instead in order to gain access to their Student Portal account. - Exclude completed students from this broadcast?
If any of the selected students have been flagged complete for their enrolment, they will be excluded from receiving the message. - Exclude archived students from this broadcast?
If any of the selected students have had their enrolment archived, they will be excluded from receiving the message. - Send only to ticked students
When this setting is enabled, the message is sent only to students who have been selected. This is a great choice if there is a custom selection of students who need to receive the message.
Note: Student selection should be considered PRIOR to clicking the broadcast button and populating your message in the Broadcast Message pop-up.
Selecting students who should receive the Broadcast Message can be performed one of two ways;
The bulk selection tool may be useful if you are sending to all or to a majority of students. This is located at the bottom of the class list and offers a few bulk selection options.
Otherwise, you may select individual students by checking the box in the select column, next to their name and booking ID.
Considerations for Method of Broadcast - SMS or Email
The Broadcast Message function offers the flexibility to send a message via email or SMS. Consider the below when constructing your message;
SMS Broadcast Message Considerations
- Do not populate a subject - a subject is not applicable to an SMS
- Consider the total number of characters, one SMS is restricted to 140 characters.
Should your message exceed 140 characters, it will be counted as multiple SMS messages, which has implications on billing.
Email Broadcast Message Considerations
- It is recommended to populate the email subject, so the reader knows what their email is about and decrease the possibility of being filtered as spam or junk mail
