Trainer Information
On the left side of a trainer profile is the trainer information including;
Assessor Status: If a trainer is also an assessor, there will be a link to view their assessor profile. If they are not an assessor, there is an option to also grant them assessor status.
Trainer basic details: Trainer name, profile picture, system ID, telephone numbers and email address are displayed at the top of their profile. To edit any of these details, click button to edit individual profile.
Trainer Alias: Optionally set a trainer alias. This will be used in any correspondence with students in lieu of their real name. ie. Samuel might prefer to be known as Sam, or to use a generic identity "RTO123 Assessor" for communication with students
Trainer Portal Access: Credentials are not issued to a newly created trainer automatically, you must click the button to send login details to trainer.
Trainer Cost: If applicable, populate a daily venue usage fee here. Rates stipulated here are used to calculate the profitability of your training in the Course Profitability Report.
Trainer Sessions: View statistics on scheduled and completed sessions. For more detail click button to view schedule.
Units tab
You can select the Modules/Curriculum Activities a particular trainer/Assessor is able to train in:Hold CTRL to multi-select.
Press SAVE ALL when done.
If you try to assign a trainer to deliver a practical session against a unit they have not been granted permission to deliver, you will get a warning they are not qualified.
Students tab
The Students tab shows the bookings that the trainer or assessor has been assigned to, and the students in those bookings.
This view can be useful if you need to reassign bookings from one trainer / assessor to another, for example, as it lets you easily see all their students in the one screen.
1. Go to SETUP > TRAINERS
2. Click the blue EDIT button, to the right of the user's name and e-mail address.
3. Click the STUDENTS tab inside the user's profile.
4. View / Use Details
Using this view, you can:
View which bookings are test bookings and which are regular bookings.
View which bookings relate to test timetable items and which relate to regular timetable items.
Click on the student's name to view their individual profile.
Open any relevant bookings in a new window and edit them (if necessary).
Quals (Qualifications) Tab
This section allows for recording the details of any qualification that a trainer holds. An electronic copy of the qualification can also be uploaded for your records, and the trainer qualification expiries report allows visibility on soon to expire and lapsed qualifications.
The trainer can upload these from their trainer portal, or admin can upload through the admin portal. See steps below to action via the admin portal.
Note: Qualifications entered to a users assessor profile are not visible from their trainer profile, and vice versa.

Click the Quals tab
- Click the Add New button to create a new qualification
- Enter the Qualification Details including:
- Recognised code
- Description
- Issue date
- Expiry date (tick the non-expiring box if this is not applicable)
- Click the save button

Upload evidence of the qualification, or any supporting documents
- Click the choose file button to browse your device for a file.
- Once the file is selection, click the upload button.
NOTE: Large files may take up to several minutes to process, do not navigate away from the page

The qualification will now show in the list with a status of PV for pending validation.
This allows admin to easily establish when a file has been uploaded by a trainer from their trainer portal, whether it has been reviewed by an administrator to ensure it is valid and correct.
- To confirm the attached document is valid, click the tick icon.
The status will then show as verified.
Cannot access Trainer Details?
When creating a Trainer in Vasto and an error notice/page not found - It is because the email address associated with the person you are creating is already in use.
In Vasto, emails cannot be duplicated.
To see which record is a duplicate, simply search the persons name at the top of any page in Vasto and you will see two records for the same person and that no password has been assigned to one of the duplicates.
You will need to give the student profile a different email address than that which has already been used for the other account
Alternatively, delete the duplicate or you can enrol the other profile into the course.
