Progress Tracker - Units and Activities

The progress tracker units and activities view allows admin users to clearly see where a student is at in their training, and allows them to easily track their progress.

As a student completes the activities via their student portal their grade and activity outcome will update automatically - and log a start date against the unit. When all activities have been completed the unit outcome will automatically flag as completed, and log an end date against the unit.

In progress tracker, you can view activity details and manually edit or over-ride the unit outcome, including start and end dates.

Units and Activities

The units and activities section displays any units included in the enrolment and the activities within the unit/s that a student is required to complete for their training. 

Unit Details

At the top left, you can see the unit details including;

  • unit code, unit title, unit ID. Clicking the unit ID number will open the unit specifications
  • Indication whether the unit is an elective unit (blue) or a core unit (orange)
  • The assessor assigned for that unit. Clicking the assessor name will open the assessor profile

Unit Outcome, Unit Start & End Dates

The unit outcome and the unit start and end dates are located at the top right.

The status icon will change depending on the current unit status - to view the unit status mouse over the icon. The tooltip text will show what the unit status is.

Activity Details

Below is the list of activities which the student needs to complete for this unit including;

  • Activity type
  • Whether it is a compulsory or optional activity
  • Activity title
  • Date completed
  • Activity grade/result
  • Activity outcome - pending (N), completed successfully (green tick) or failed (purple F)

Activity Grade/Result

For some activities (Online Exam, Practical Session, File Submission, Student Declaration), the activity grade/result contains a clickable link where you can view more details pertaining to that activity.

Where more information is available, the text will show in a blue colour.

Clicking on the link will open the student results and activity details.

Practical Session: this will show details of the prac session, including attendance and a list of skills or outcomes the trainer has assessed in the practical session

Question: I have a practical activity scheduled. Why does the progress tracker display different text when the activity is completed? ie. sometimes it says completed satisfactorily, other times it shows grade: 100% passed

This will depend on the setup of your practical activity. If it is a practical activity set up on page 1 of the timetable editor, it will say completed satisfactorily.

If it is set up on page 2 of the timetable editor, depending on the trainer tasks selected it will show the corresponding session achievements.


Online exams: this will show a list of questions within the exam. Against each question you can see;

  • response submitted by student, including any file attachments
  • result (if applicable)
  • the assessor assigned, or indication it is an auto-assessed question
  • where assessment benchmarks have been set up for the question, you can view these

File Submission: this will show the question provided to the student, their files submitted in response and relevant grading and assessment information from their assessor.

Student Declaration: this will show the statement to which the student has agreed, including the date and time stamp when they signed and copy of signature

Edit Unit Outcomes

This method allows you to update the unit outcome for individual units one at a time. Please see help page on the unit outcome editor for making bulk changes to multiple units.

  1. Click the unit status/outcome button. This will open the Unit Outcome Editor in a pop-up screen
    (Note: this may have a different look, as the icon will update depending on the unit status.
    Pictured is the icon for a unit with a status of new, represented by three dots.)

  2. The Unit Outcome Editor allows you to manually record or to over-ride and edit;

    • Allocated assessor
    • Unit start date
    • Unit end date
    • Unit status
    • Hours attended
    • Admin comments regarding the outcome

    When changing the unit outcome status, you will need to select from the drop down menu

  3. The Extended Fields Editor provides the ability to;

    • Over-ride the enrolment level funding information where a single unit has different values
    • Record fees, tuition and funded amounts associated with this unit
    • Record a white card reference number
    • Over-ride the unit's standard delivery mode where a unit is delivered differently

This lets RTO's define their funding contract IDs at the unit level. This is required when their contracts update and they have students already underway.

NOTE: The 'additional fees charged'  field is only applicable to Victorian RTO's as they have to report non-tuition fees charged for the delivery of each unit.

4. Once changes have been made, scroll to the end of the page and click the save button
