Progress Tracker Functions

The progress tracker contains detailed enrolment information, such as student progress in learning content, unit results, completion dates and funding information.

 

Viewing Progress Tracker

Progress Tracker can be accessed from a variety of locations. 

  • When using find quick search, in the manage enrolments view or the latest enrolments view click the blue progress tracker icon next to the student name

  • From an individual profile in the enrolment tab, click the status button to view the detailed progress tracker for that enrolment, or click the blue progress tracker icon

  • From timetable manage enrolments view, click the status button to view the detailed progress tracker for that enrolment, or click the blue progress tracker icon

  • From the edit booking view, click the progress button to view the detailed progress tracker for that enrolment, or click the blue progress tracker icon

Progress Tracker View

Once you have opened the progress tracker pop-up you may prefer to view this in a separate tab, and not as a pop-up. Click the expand icon to open progress tracker in it's own tab.

Enrolment Details

At the top left of the progress tracker view you can see the enrolment details.

This includes the following;

  • Student name
  • Course or unit code and title, including the unique ID which is a clickable link which will open the course or unit profile
  • Date the student was enrolled
  • Brand for the enrolment
  • Assessor allocated (at enrolment level)
  • Enrolment status
  • Completion flag
  • Date of latest unit completed
  • Number of core units completed (courses only)
  • Number of elective units completed (courses only)


Time Limit 

If the course or unit has a time limit applied, to the right of the enrolment details you will see the date the enrolment expires - the student will need to complete training within this timeframe. It will also display number of days access the student has remaining.

If there is no time limit enforced, this will simply show how many days have elapsed since the student enrolled.

Click on the time limit box to apply a time-extension - for more information see the help page on time limits and time extensions.

Note: The time data is only reflected for enrolments which have status 'in progress'. Completed, Withdrawn, Suspended or Cancelled enrolments will not show this as the student no longer can access or has already completed the training. A time limit is no longer applicable.

The following documents can be accessed via the progress tracker. 

These are downloaded as a PDF file once you click the download icon.

Comments

Admin users can record comments or notes relating to this enrolment in the progress tracker.

To add a new comment, type into the box provided and click the save comment button

Notes are time stamped, and the user that added the note is recorded.

If necessary a comment can be removed by clicking the orange remove button

Additional Data

If you are collecting additional data at point of enrolment - either enrolment acknowledgements and declarations or custom enrolment form fields (see help page on enrolment settings for more information on setting this up) - the responses are recorded in the progress tracker in the additional data section.

 

Acknowledgements Ticked at Enrolment

Where a student has self-enrolled and they have ticked any acknowledgements or declarations, a record is retained in the progress tracker.

The date and time stamp this was ticked by the student and the IP address are all recorded against the statement they have agreed to.

NOTE: Acknowledgements and declarations are only recorded in the self-enrolment process - they cannot be recorded by admin users when performing an admin enrolment or bulk enrolment. We suggest adding a comment in this scenario. 

 

Additional Data Collected

Where a student has self-enrolled and they have provided a response to enrolment form custom fields, a record is retained in the progress tracker.

The question or label is recorded in the field column, with the student response recorded in the value column. Admin users can remove a response by click the orange cross icon.

Add Additional Data

Admin users can record a response to an enrolment form custom field after a student has enrolled. This allows a central location to record responses collected by admin users that are enrolling students to or to record data provided by students at a later date. 

  1. Open the progress tracker, and scroll to the additional data section

  2. In the field column, use the drop down box to select the question

  3. In the value column, record the response to the question

  4. Click the blue tick icon to save the additional data

Technical Information

The technical information section contains details and links that are relevant to this enrolment.

It lists the following ID numbers relating to the enrolment. Each ID number is a hyperlink.

Clicking the ID number will open the page as described in the table below.

If applicable to the enrolment, you will see the status and a hyperlink that will take you to the;

  • RPL Claim
  • Enhanced Enrolment Submission
  • Time Extension

Enrolment Visibility - Hide Enrolment on Student Portal

It is possible to manually edit whether a student is able to view this enrolment when they log into their student portal. 

Scroll to the bottom of the progress tracker, and click button to 'hide/show on student portal'.

The current enrolment visibility can be seen on the left.

In the booking editor, red text indicating that the enrolment is 'hidden' will appear in the stage column below the booking status.

Feedback Survey AQTF Survey Link

Also located in the technical information section is a unique link for this student enrolment to access the AQTF survey, 

The AQTF survey is also available to them in their student portal once they have completed their training - this link may be useful if you wish to send it to the student directly.
