View Outstanding Vasto Invoices
Vasto Educator subscribers can view and pay unpaid Vasto subscription invoices from their MY ACCOUNT page. You can also setup your account to facilitate direct debit for variable monthly charges such as SMS usage.
Make a Subscription Payment
It's easy to make a payment in your admin portal towards an outstanding Vasto subscription invoice.
1. Enter Payment Details
Enter the payment amount and the invoice number in the fields here:
2. Continue With Payment
The payment amount and invoice number will then be confirmed.
Click the "Pay Now" button to continue with the payment.
3. Confirm Payment
Add the relevant payment details here, and click "Pay Now".
Your credit card will then be charged the relevant amount.
Add or Edit your Organisation Details
Important: This information needs to be included, and be correct, for reporting purposes.
The information in these fields will appear on student certificates, and will be referenced in AVETMISS reporting. These details must match the records on training.gov.au to allow for USI integration and accurate reporting.

Enter your company's main details here:

ACN (if applicable)
RTO number (AVETMISS field name "Training Organisation Identifier" - NAT00010)
Type of Training organisation: choose the most applicable option from the drop-down list. (AVETMISS field name "Training Organisation Type Identifier" - NAT00010)
2. Contact Information
Enter the contact details you would like to be used for training enquiries. These fields may be included on student certificates, but only if you choose to include them in any certificate templates.
Main telephone number: Main enquiry telephone number. (AVETMISS field name "Telephone number" - NAT00010)
Main fax number: Main enquiry fax number. (AVETMISS field name "Facsimile number" - NAT00010)
Main e-mail address: Main enquiry e-mail address. (AVETMISS field name "Email address" - NAT00010)
Website URL: The URL of your company website.
3. AVETMISS Location and Contact Details
Enter a contact name and the location details of your organisation, to be used for AVETMISS reporting purposes. This data will only be used for AVETMISS and not for any other purpose.

USI Web Services Integration
NOTE: These details can only be seen on the PRIMARY USER'S ACCOUNT as a security measure.
These details allow Vasto to check a student's USI (Unique Student Identifier) for accuracy.
From 1 January 2015 onwards, all RTOs which enrol students in VET courses or units must collect the student's correct USI for compliance purposes. The details entered here allow the system to check the validity of this USI the student has quoted, in order to make sure the information is accurate at reporting time. If the quoted USI is incorrect, the student will be asked to correct it. Once you have setup your webs services and USI with usi.gov.au, check this box to enable in Vasto.
Add Signatures
Signatures can added to select document templates within the Vasto system. A signature can be added using any of these two methods;
1. Signature Pad
This method requires a mobile device, such as a phone or tablet.
Clicking the signature pad button will open a pop-up on screen, containing a QR code. Scan this using your mobile device. (Most newer devices have inbuilt QR scanning to the camera function. On older devices, you may need to download a QR scanner app in order to scan the QR code).
When scanned, it should open a signature pad on your mobile device. Use your finger or stylus to provide your signature.
2. Upload image
This method will allow you to upload a digital signature image file.
The image MUST meet the below file requirements:
- image file size must be 400px wide by 100px high
- JPG file
Click choose file and upload to Vasto from your saved files on your computer/device.
Remove Signature
To remove a signature, tick the "Remove" box to the right of the signature and then SAVE.
The person name will also be removed. If the title/position should be removed, then you should delete the text in this field manually.
Frequently Asked Questions
Question: Why isn't the signature applying correctly? I cannot see a preview of the image.
Answer: The file provided MUST meet the following requirements: it must be a JPG file type, and the file size must be 400px wide by 100px high. Failure to meet these requirements will result in failure to display correctly in preview and across the system in any templates.
