Student Profile

This tab relates to various options that can be enabled or disabled for your students in their portals.

You can:

  • Ask your students to review the accuracy of their student profile at the start of every course (or every standalone unit). 
  • Require ALL students, regardless of the VET flag on their course/unit specifications, to complete the full AVETMISS student profile form.
  • Make VET and NON-VET form completion optional for all students. (NOT RECOMMENDED) - Making this optional means all students can enter their portal the first time and immediately be directed to their DASHBOARD. If they wish to optionally profile a profile it can be done via the SETTINGS menu item in the student portal. Removing this as a requirement is strongly discouraged if you use Vasto for compliance reporting.
  • Allow ASSESSORS to edit their own student's AVETMISS or non-AVETMISS student profile.
  • Allow TRAINERS to edit their own student's AVETMISS or non-AVETMISS student profile.
  • Disable option for students enroled in VET courses to enter their USI later. Clicking this requires that students submit a valid USI prior to being able to undertake any online learning.

NOTE: Use with caution! If the government's USI web services experience planned or unexpected outages, your students may not be able to proceed with their training until such time as the system comes back online to permit USI validation and/or creation.

 


Additional Enrolment Procedures

Additional Enrolment Procedures are defined on the ENROL tab of courses or units into which students are enrolled. Set the date from which you wish to enforce completion of these processes by enrolling students.


You can create a start date for Enhanced Enrolment to be applied to your students. "Enhanced enrolment" involves additional steps, which you can enable for any course or unit, and the student is then forced to complete these steps and upload proof of completion before they can begin their study.

Any submitted proof must be assessed and validated by admin users before the student can begin.

This start date can prevent older students from needing to complete these "enhanced enrolment" steps.

Note: Students who are already partially completed when enhanced enrolment is introduced, or whose booking date is earlier than this start date, will be exempt from these enhanced enrolment steps.

Note: If you do not see the normal "calendar" view (which allows you to click on a date), this is because your browser does not support this calendar view. Instead, you must type the date manually in the form of YYYY-MM-DD (e.g. 2014-03-07). The date must be in this exact format to be accepted.


Time Limits

Where time limits are applied for course/unit completion (in course/unit specifications) the student portal gives a "close to expiry" message and a button to buy more time. If Administration chooses to set this feature up, students can apply for extensions earlier in their enrolment.

In Admin portal, under SETUP > SYSTEM DEFAULTS > STUDENT PORTAL SETTINGS, you will see the following:

Extra Time

You can also require students to agree to terms and conditions specifically in relation to time extensions at the point at which they apply for an extension in their student portal.

To enter your policy terms and conditions, go to SETUP> SYSTEM DEFAULTS > STUDENT PORTAL SETTINGS > EXTRA TIME

You can choose to allow or deny students the opportunity to request extra time to study their course.

If this option is disabled, students will not be able to ask for a time extension (if they run out of time to finish their study).

Note: This option only disables time extensions being requested by students themselves - time extensions can still be applied to the student by admin users, even when this feature is disabled.

 


Manual Assessment Workflow

Under SETUP > SYSTEM DEFAULTS > STUDENT PORTAL SETTINGS > MANUAL ASSESSMENT WORKFLOW You can now tick a box to allow students to see a LODGE button for each of their fully or partially completed curriculum activities. Clicking this generates a REQUEST FOR ASSESSMENT for that activity's submission(s). The assessor will then, by default, see the list of lodged assessment requests at the bottom of their dashboard page.

 

Academic Transcriptions

Allow students to download PDF copies of their own academic transcriptions from their student portal.

 

Certificates

You can opt to NOT allow students to access their own certificates (where allowed in certificate settings and at timetable item level) until explicitly released by admin.

 

Feedback

You can opt to enable access to the student "Complaints" form in the student portal.

This option enables a standardised complaints form, which students can complete in the "Help" section of the student portal.

You can opt to enable AQTF Quality Indicator survey for each student upon completion of the courses/units into which they have enroled. No identifying data attached. Students complete this survey anonymously, optionally, at the end of their course or unit.
