10. CRICOS

If CRICOS is enabled in your account, Vasto can be used to store all CRICOS-specific enrolment events, documentation (eg. scans of Visas & passports) and attendance evidence via CRICOS workbench.

What is CRICOS?

The Commonwealth Register of Institutions and Courses for Overseas Students (CRICOS) is the official Australian Government website that lists all Australian education providers and the courses on offer to people studying in Australia on student visas.

Account CRICOS Setup

Setup > System Defaults > CRICOS

• Record your CRICOS registration number (this is an available dynamic field for CRICOS templates)
• Record capacity limits on number of accepted CRICOS student's per year

Set enrolment as CRICOS

• Complete enrolment as normal. 
• Edit booking > edit > CRICOS enrolment drop down set to YES
• Purple icon should display to indicate this is set as a CRICOS enrolment

Manage > CRICOS workbench A summary of all CRICOS bookings, with filter and search functions

From the student profile CRICOS tab additional CRICOS information can be recorded. There is a summary of all CRICOS enrolments for that student

CRICOS Dynamic Document Templates

Create a document template in Manage > Templates > Dynamic Documents (general purpose)

To generate;

For an individual student

• go to the CRICOS enrolment tracker
• select the template from the create a document drop down list
• click lightning bolt to generate

In bulk

• go to the CRICOS workbench
• select students to generate the document for
• click send PDF's

Notes

IMPORTANT: CRICOS registered RTO'S need to collect and maintain student passport and visa information. You don't need to report this in any special way - However, if audited, you need to show that you keep your records up to date.

NOTE: You are not allowed to provide training to any foreign student whose visa has expired or where the visa disallows study in Australia.

Frequently Asked Questions

Question: Does Vasto integrate with PRISMS?

Answer: There is no direct integration, all data needs to be uploaded to PRISMS manually.

Question: Does Vasto export CRICOS data for upload to PRISMS

Answer: There is no CRICOS reporting capability. The RTO needs to create and update CRICOS enrolments via the PRISMS website UI as the student progresses through the initial application/approval then training process.
