Vasto contains three tools to assist with cleaning up common AVETMISS errors. These tools should be run prior to generating your NAT files for submission to NCVER or relevant State Reporting Authority to minimise errors returned.
NOTE: These tools do not identify all errors, only common ones.
Address Verification Tool
Some of the most common errors in AVETMISS reporting are incorrect address details on a student VET profile. This occurs where there is a spelling mistake or the suburb and post code provided are not a correct combination.
In 2021 Vasto introduced address lookup function which auto-populates address details verified via google maps. The option to manually provide address details does still exist, and such errors may still occur - but they should be minimal.
How to use Address Verification Tool
-
Navigate to Connect > Address Verification
-
To view all address errors identified in your data, click the SHOW ALL text, or to view errors categorised by first letter of student surname, select a letter.
Alternatively if you have a specific student ID that has flagged as an error in your error report received after submitting your data to NCVER or state authority, you can provide the student ID and click the magnifying glass icon to run a search.
(this option will show any student - even if the system doesn't think their address contains an error)
-
Profiles which contain errors will display in a list. A maximum of 50 incorrect addresses will be listed on the page at any one time.
Typically the error details will appear on the right in red text.
If data is missing, it may not display a message, and instead show the missing field shaded in red
-
Fix the address error by editing the data directly, and clicking the save button.
Check that the residential address and the postal address are both updated (if necessary).
Use the 'copy to...' buttons to quickly edit both records where these are the same. -
Address details must be correct per the Australia Post details. Use the Australia Post postcode checker at this link - https://auspost.com.au/postcode
ie. Mt Druitt is incorrect, it must be Mount Druitt.
Where the suburb contains two words such as North Melbourne make sure there is only one space between the two words - a double space will flag as an error.
There is a red bookmark tab at the bottom of the addresses verification screen. Click this to quickly navigate to the Australia Post postcode checker.
What if I have not been supplied with (or entered) the student’s full address details on their VET profile?
NAT files will now automatically fill the street number, street name, suburb, state and country fields with appropriate “not specified” flags.
We have confirmed that this is an acceptable filler for these fields, and error messages that previously appeared on the NCVER validation tool detailed error reports saying “must not be blank” will not no longer appear.
Overseas Addresses
Overseas addresses may be displayed as an error in the address verification tool because they don't follow the same format as Australian addresses.
They can be omitted from the search results by selecting check box to show only Australian addresses.
To record an overseas address in Vasto, specify the state as "Z - N/A Non-Australian" and the country as any country except Australia.
In NAT00085 file students with an overseas postal address per above will automatically have "OSPC" set in the postcode field and "99" (overseas) set in the state identifier field for reporting.
