Vasto contains three tools to assist with cleaning up common AVETMISS errors. These tools should be run prior to generating your NAT files for submission to NCVER or relevant State Reporting Authority to minimise errors returned.
NOTE: These tools do not identify all errors, only common ones.
Troubleshooter (Students)
This tool contains four tabs which identify potential errors where data is missing or invalid;
- Duplicated Students
- Date Issues
- Missing VET Profiles
- Missing Username & Password
Navigate to Manage > Troubleshooter (Students)
The four tabs are available at the top of the page
Duplicated Students
This tool identifies potential duplicate profiles by identifying profiles which have the same first and last name.
By comparing the USI, date of birth and email address registered to the profiles an admin user can establish whether these are duplicate profiles (ie. same person using a work and personal email address) or whether they are legitimately two separate individuals with the same first and last name (ie. common names like John Smith).

Date Issues
This tool identifies discrepancies with enrolment and unit start and completion dates. Commonly these errors occur with a data entry error where admin are over riding dates or manually entering dates

Any problematic dates will display in a list, with the description of the issue in red text.
If more information is required to pinpoint the date issue which should be resolved, click the arrow icon () next to the student name or the timetable ID to visit the student profile or timetable item.
- Click the amend dates button to quickly edit dates based on the description of the issue and the summary dates available.

Make your changes and click the save button.
NOTE: only the enrolment start and complete dates can be edited in this pop-up.
Per the on screen message, if it is the unit start or complete dates which are incorrect, these need to be edited via the progress tracker. Click cancel to close the pop up.

To open the progress tracker, click the progress button

Click the status button to edit dates for a single unit.
(Alternatively, use the unit outcome editor.)
- Edit the unit start or complete dates as required.
- Scroll to bottom of the pop-up and click the save button
Missing VET Profiles
A missing VET profile is problematic, because this could result in the enrolment not being included in AVETMISS reporting. An on-screen message will confirm if there are no missing profiles.
If any profiles do populate into the list, simply clicking the profile button and viewing their profile will resolve the problem, as this will create a blank profile.
Missing Username & Password
A profile will be created without a username or password assigned when an administrator ignores warnings and enrols a new student with an email address that is not unique, and has already been allocated to a different user.
This is problematic because the person cannot access their student portal, and because they may not appear in some Vasto reports due to the missing username and password.
- If there are any profiles with missing username and password details, click the profile icon to view their individual profile
- In the top left of their profile click text to 'assign now'
- Provide a unique email address, and click the validate button
NOTE: It will be necessary to re-send confirmation emails or other correspondence manually.
