Set Up Dual or Triple Qualification Timetables

Dual or triple qualification delivery may be used where a student is completing more than one qualification, and units from one qualification are being recognised against another qualification.

This process assumes the RTO has already completed the required qualification mapping and has confirmed which units are being delivered, which units are shared, and which units should be recorded as credit transfer in the additional qualification/s.

NOTE: Vasto does not determine whether units are equivalent or whether a student is eligible for credit transfer. The RTO must complete and retain the required mapping before setting up the qualifications and timetables in Vasto.

Setting up the Qualifications and Timetables

1. Create each qualification

Create each qualification as a Nationally Recognised Course in Vasto.

Each qualification should include the relevant core and elective units for that qualification. If you are unsure how to create a nationally recognised course, refer to the article: Create a New Nationally Recognised Course.

When setting up the qualifications, make sure the units selected match the RTO’s approved mapping.

NOTE: It is important to check the course structure, units, core/elective rules and settings before making the course available to students.

For the purposes of enrolment and making things appear nicely in widgets, one qualification from each combination should be nominated as the "primary" qualification.  In the example below, we're using Diploma of Business because its National Code (BSB50120) is alphabetically before the Diploma of Quality Auditing (BSB50920)

When setting up the "primary" qualification, make sure to include both titles in the Internal Title; we'll use this later.

2. Create the required qualification combinations

For dual or triple qualification delivery, you should create a separate course setup for each combination of units being delivered.  This helps reduce the chance of removing the incorrect elective units when setting up timetables and ensures that enrolments, marking, certification and AVETMISS reporting reflect the actual qualification combination the student is completing.

For example, if students may complete different combinations of electives across two or three qualifications, each valid combination should be set up separately so that the correct units are attached to the correct qualification.

In our Diploma of Business above, our elective units generally come from the Diploma of Quality Auditing where the packaging rules allow.

To streamline your student experience, we recommend making any overlapping units a "credit only" unit in all but one of the courses you've set up.

3. Create a timetable for each qualification

Create a timetable item for each qualification that forms part of the dual or triple qualification delivery.

For consistency, the timetables should usually have matching start dates.

This makes it easier to identify the related timetables, manage enrolments, and confirm that students have been enrolled into the correct qualification group.

4. Group your timetables

Select and group the created timetable items, Name the group clearly so that staff can easily identify the qualification combination. For example, we've used Diploma of Business and Diploma of Quality Auditing as the name of our group.

When setting up the group, make sure you've also selected the "Simultaneous enrolment" option and click "save."  Your timetables will now be grouped together

Enrolling Students.

For administrators, you can simply click the "Group enrol" button on each group to enrol students into all of the timetables within a group.

To have students self-serve their enrolments, you will need to provide them with an enrolment link.  This can be performed in two ways

  1. Generate and send an enrolment link for the "primary" timetable item.
  2. Set up a widget for the primary qualification, which will show your available timetable items.

Follow the process for generating an enrolment link, making sure to do this on the "primary" timetable.

2.Setting up a widget

Follow the setup guide for Widgets, making sure to select the "primary" qualification as the one you're opening for enrolment.  This timetable should be the one with the pricing information so students are presented with payment options during the self enrolment process.

Results and Certificates

1. Recording results

When marking results, record the delivered unit result against the qualification where the unit is being completed.

Where the same unit is being recognised in the other qualification/s, record the result as Credit Transfer rather than marking the student as completing the same unit multiple times.

The recommended approach is:

  • Mark the delivered/core unit as Competent
  • Mark the equivalent unit in the other qualification/s as Credit Transfer

This supports correct AVETMISS reporting where the student has completed the unit in one qualification and is receiving credit in the other qualification/s.

2. Generating certificates

Against each timetable item that a student is enrolled in, you will need to generate a certificate when their course is complete.  This will result in the student receiving two (or more) individual certificates; one for each of the qualifications completed.
